How should your deposit work for you right now?
As an apprentice, you're taking in everything. A deposit just books it for later when you can't fit it in that day.
In your early years, it's about the order. Get people in for a consult first and talk through their idea before the deposit comes up. If someone DMs just price hunting, invite them in. You're more likely to book them once they're in front of you.
Once you have 3 to 6 months of bookings, your deposit can start sorting clients. If you're burned out and don't have those bookings yet, look at every touch point with clients before adding friction. Skipping steps is where this falls apart.
Once you're at max capacity, your deposit becomes a boundary that protects your time and your business. It's basically a contract, and your clients need to know this is a real business.
When you're working toward dream pieces, your deposit has to cover what you'd actually lose. A $200 deposit on a full day isn't protection. It's a wish.
When your clients are in rotation, a last-minute cancellation isn't easy to fill. So if someone cancels the day before and I can move someone into that spot, fine, I'll transfer their deposit. If I can't, they lose it.
